Office Manager

Location: Wormleysburg, PA (100% in office)

Reports To: CEO & Director of Construction

Position Overview:

Steel Works Constructions is seeking a highly organized and proactive Office Manager to oversee daily office operations and support project administration. This individual will play a key role in coordinating across multiple departments—including marketing, estimating, accounting, and project management—while ensuring smooth internal operations and exceptional client-facing interactions.

The Office Manager will be responsible for both administrative office duties and project-specific support functions. This is a full-time, in-office position with limited remote work flexibility.

Key Responsibilities:

Project Administration

  • Collaborate with the Marketing/Business Development team to prepare and submit proposals for new opportunities.

  • Support the Estimating department by coordinating subcontractors during the bidding process.

  • Draft and manage AIA contracts with owners and subcontractors.

  • Establish new project setups in coordination with accounting and assigned Project Managers.

  • Collect all required subcontractor documentation prior to project start.

  • Work with Superintendents to ensure jobsite offices are properly equipped with necessary materials.

  • Provide ongoing project support, including processing change orders, handling submittals, and managing other administrative functions.

Office Management

  • Serve as the primary point of contact in the office to greet visitors and answer company phone lines.

  • Manage office supplies, equipment, and materials to ensure efficient daily operations.

  • Coordinate marketing initiatives with the Marketing team.

  • Provide direct administrative support to the CEO and Director of Construction, including scheduling, correspondence, and special projects.

  • Assist the Accounting team in preparing and distributing monthly financial reports.

Qualifications:

Required

  • Bachelor’s degree in construction management, Business Administration, Finance, or related field.

  • Proven background in administrative management with experience supporting multiple teams.

  • Excellent organizational and communication skills, with the ability to manage multiple priorities.

  • Strong attention to detail and ability to work both independently and collaboratively.

Preferred (but not required)

  • Proficiency in construction management software, such as:

    • AIA Contract Documents

    • Procore

    • Microsoft Project

    • Primavera P6

  • Previous experience in construction industry administration.
